COVID-19 Response Plan

COVID-19 Update March 2021

As in the past year, our primary goal remains to protect the health of our clients, families, friends, and all our fellow Canadians. We want you to know that we are committed to our work and client service.  With this in mind we have made the decision to continue operating remotely for the 2021 busy season. 

Currently, the majority of our staff continue to work from home and we have strict safety protocols and restrictions in place at our two offices.

There is no difference in how you connect with us. Please continue to get in touch with us through our office phone lines and email as you regularly would.

What has changed in how we work compared to prior years?

At this time, we do not hold in person meetings (internal and client). Instead, we are utilizing our remote capabilities to hold tele and video conferences with screen sharing capabilities.

Transmittal and delivery of documents

We are asking you to send your documents to us electronically.

  • We are accepting documents digitally through email for non-sensitive information (most phones and tablets now have scanning capabilities on both android and apple devices through their camera and notes applications)
  • We are using ShareFile for secure document transfer. The link to a ShareFile upload can be found below the email signature of each Adams & Miles staff member.
  • If your information is not readily available in a digital format we can still receive faxes at 416.502.2210, which come through digitally on our end.
  • If you are not able to get to our offices to drop off your documents we will continue to accept couriers at both locations, but we urge you to use a digital format as receiving paper documents will increase turn around times with the precautionary measures we have in place to deal with physical deliveries.
  • Contactless documents drop off: If your documents cannot be scanned we now offer a safe and secure contactless drop box at both locations
    • The Toronto drop box is located in the lobby near the elevators
    • The Mississauga drop box is located on the second floor, just outside our office

With the above in mind, we ask you to send us your 2020 information as soon as possible. To help us better serve you and to help you benefit fully from the deductions to which you are entitled, we invite you to take a few minutes to complete our 2020 Tax Planner Checklist. Currently, the majority of our staff are working from home and we have strict safety protocols and restrictions in place at our two offices.

Our team continues to serve our clients and we are here to advise you in this challenging time. There is no difference in how you connect with us. Please continue to get in touch with us through our office phone lines and email as you regularly would.

Many smart phones also offer free scanning apps to help you convert your documents to a digital format (Photo and PDF).

As of Monday, March 23, 2020 you can still send couriers and paper, but we urge you to use a digital format as receiving paper documents will increase turn around times with the precautionary measures we have in place to deal with physical deliveries.

Our Tax Filing Recommendations

The CRA announced last week the deferral of filing deadlines. However, the position of Adams & Miles LLP is to prepare and file the returns as soon as possible. We believe this to be the best course of action because:

  • Although deadlines have been deferred the taxes payable (if any) will still be due;
  • Though we can still obtain most of the information now this may change in the coming weeks;
  • Let's avoid the rush!

With the above in mind, we ask you to send us your 2019 information as soon as possible. But, we also ask you for patience as our service delivery may be delayed. This is regularly a busy time of year for our business, but especially this year, please bear with us as we all adjust to this new reality.

COVID-19 Response Plan - March 13, 2020  

At Adams & Miles the health and wellbeing of our clients and staff are of the utmost importance. Given the current unfolding situation with COVID-19, we have made the decision to adopt a number of precautionary guidelines to do our part in limiting the spread of the disease.

Client Services

Meetings & Fieldwork

  • At Adams & Miles we are fully equipped for remote work and virtual meetings, and though our offices remain open for business we will be limiting the number of staff in the office and in the field over the coming days and weeks. 
  • As of March 13, 2020 we have suspended all in-person fieldwork that involves travel outside of the GTA, particularly air travel. We are developing individualized client plans to execute our assurance engagements effectively and remotely. If you have an upcoming engagement you will be contacted shortly to discuss.
  • As of March 13, 2020 we have suspended attendance at all Condominium Annual General Meetings until March 31, 2020.  Attendances scheduled for April will be reviewed in the last week of March. If you are a Condominium Corporation client with a scheduled AGM, we will be contacting you to discuss alternate arrangements shortly.
  • As of March 13, 2020 we are restricting in-person client meetings until further notice. We encourage our clients to "meet" with us by phone or video conference. To assist with this, we have audio/video conferencing solutions with full screen sharing capabilities. If your organization currently has its own conferencing solutions that you prefer to use (such as Zoom or Skype) please let us know and we will do our best to accommodate.

Transmittal & Delivery of Documents

  • To assist with our safety initiatives we encourage you to send your materials to us electronically. 
  • To send us private or sensitive information please use ShareFile, our encrypted file transfer service.  To access this service look for the Upload Files Securely link in the email signature of each Adams & Miles partner and staff member. If you require assistance in uploading documents please contact us.
  • If your documents cannot be transmitted electronically we are happy to send a courier. 

Internal Operations

  • To ensure our staff remain healthy we have increased accessibility and visibility of hand sanitizer in our offices. We are working with suppliers to obtain additional individual hand sanitizers for our staff.
  • The janitorial staff at our offices have begun using additional sanitizers and increased their cleaning of high touch surfaces.
  • We are limiting large gatherings of staff.
  • Our staff are equipped to work remotely and have the option to work from home. We expect to adjust the frequency of working from home as the situation develops. 

We continue to follow the directives of the Public Health Agency of Canada and Public Health Ontario to ensure that we navigate these challenging circumstances with everyone's health and wellbeing in mind.
